For the purposes of UK data protection law, James Wild trading as Sporting Guardians is the controller of the personal information described in this Privacy Policy.

2. What this Privacy Policy covers

This Privacy Policy explains how we collect, use, store and share personal information when you:

visit www.sportingguardians.com;
create or use a member account;
buy or trial a membership;
use the Ask a Question service;
send written questions, voice notes, videos, photos or other information;
sign up to emails or other updates;
contact us directly.

Sporting Guardians is intended for parents and guardians aged 18 or over. We do not provide child accounts. Where you provide information about a child, you must have parental responsibility or appropriate permission to do so.

3. Personal information we collect

We may collect and use the following types of information:

identity and contact details, such as your name, email address, account details and communication preferences;
membership and purchase details, such as the plan you choose, trial status, renewal status, payment status and cancellation information;
messages and support content, including questions, follow-up messages, voice notes, video links, uploaded videos or photos, feedback requests and replies;
information about a child that you choose to provide, such as age, sporting context, training history, performance information, movement videos or injury-related background;
health or injury-related information where you choose to send it as part of a question;
technical information, such as IP address, browser type, device information, pages visited, log data and cookie identifiers;
marketing information, such as whether you have opted in to emails or interacted with our emails or adverts.

Please do not send more personal information than is needed for your question or request.

4. Special category information

Some information you choose to provide may include health, injury or other sensitive information. This is known as special category data under UK data protection law.

We only use this type of information where it is relevant to the support or guidance you have requested. By choosing to submit injury-related or health-related information through the service, you are asking us to process it so that we or a suitably qualified contributor can respond.

Where required, we rely on your explicit consent to process health or injury-related information. You can withdraw that consent by contacting hello@sportingguardians.com, although this may mean we cannot continue dealing with that question.

5. How we use personal information

We use personal information to:

provide and manage the website and membership service;
create and manage member accounts;
process subscriptions, renewals, cancellations and refunds;
provide the Ask a Question service;
review text, voice note, video or photo information submitted by members;
respond to questions and follow-up messages;
involve suitably qualified individuals, such as physiotherapists or other relevant professionals, where appropriate;
keep records of questions, replies and account activity;
improve our resources, website, membership and services;
send service messages, such as account, payment, cancellation and policy updates;
send marketing emails where you have asked to receive them or where the law allows us to do so;
measure website use and improve advertising through tools such as Google Analytics and Meta/Facebook technologies, where permitted;
protect the website, members and business from misuse, fraud or security issues;
comply with legal, tax, accounting and regulatory obligations.

6. Our lawful bases

We rely on different lawful bases depending on what we are doing:

Contract: to provide memberships, account access, Ask a Question support and paid services.
Consent: for optional marketing emails, non-essential cookies and, where required, health or injury-related information you choose to submit.
Legitimate interests: to run and improve the business, respond to enquiries, keep appropriate records, protect the website from misuse and understand how services are used, provided your rights do not override those interests.
Legal obligation: to keep tax and accounting records, respond to lawful requests and comply with legal duties.

7. Information about children

Sporting Guardians is for parents and guardians aged 18 or over. We do not knowingly create accounts for children.

If you provide information, images, video, voice notes or other material relating to a child, you confirm that:

you are the child's parent or guardian, or you have appropriate permission;
you have considered whether it is appropriate and necessary to share the information;
you will not upload material that is inappropriate, intrusive, unlawful or unrelated to the support requested;
you understand that uploaded videos, photos and voice notes may be reviewed by Sporting Guardians and, where relevant, suitably qualified contributors helping us respond.

8. Sharing personal information

We may share personal information with:

website, hosting and account providers, including Wix;
payment and subscription providers, such as Wix Payments and other payment processors used through the website;
email, newsletter and customer communication tools;
analytics and advertising providers, including Google Analytics and Meta/Facebook technologies, where permitted;
video or embedded-content providers, such as platforms used to host or display videos;
suitably qualified contributors, such as physiotherapists or other relevant professionals, where needed to answer a question;
professional advisers, such as accountants, legal advisers or insurers;
regulators, law enforcement or other authorities where legally required.

We only share information where we have a reason to do so and, where appropriate, under contractual or professional duties of confidentiality.

9. International transfers

Some providers we use may process information outside the UK. For example, providers such as Wix, Google, Meta/Facebook, email marketing services and video platforms may operate internationally.

Where personal information is transferred outside the UK, we expect appropriate safeguards to be used, such as adequacy regulations, standard contractual clauses or equivalent protections.

10. How long we keep information

We keep personal information only for as long as reasonably needed.

As a guide:

account and membership records are kept while your account is active and then for as long as needed for legal, accounting, tax, dispute or business record purposes;
payment and transaction records may be kept for up to 6 years for tax and accounting reasons;
Ask a Question messages, replies, voice notes, videos and uploaded material are normally kept for up to 3 years after the last related interaction, unless we need to keep them longer for safeguarding, legal, complaint or insurance reasons;
marketing records are kept until you unsubscribe or ask us to delete them, subject to retaining a suppression record so we know not to contact you again;
analytics and cookie information is retained according to the settings of the relevant tool.

You can ask us to delete information sooner, although there may be reasons we need to retain some information.

11. Your rights

Depending on the situation, you may have the right to:

access the personal information we hold about you;
ask us to correct inaccurate information;
ask us to delete information;
ask us to restrict how we use information;
object to certain uses of information;
ask for information in a portable format;
withdraw consent where we rely on consent;

12. Marketing

We will only send marketing emails where the law allows us to do so. You can unsubscribe at any time using the link in the email or by contacting hello@sportingguardians.com.

We may use advertising tools such as Meta/Facebook and Google to understand whether adverts are effective and to reach people who may be interested in Sporting Guardians. Where required, these tools should only run after cookie consent.

13. Security

We take reasonable steps to protect personal information, including using reputable website, payment and hosting providers. No online service can be guaranteed to be completely secure, so please take care with what you choose to upload and keep your account details safe.

14. No automated decisions with legal effect

We do not use automated decision-making that has legal or similarly significant effects on you.
